Job Description

Purpose

Efficiently create and execute consulting, sponsorship and/or promotional speaker contracts commensurate with AbbVie’s policies and objectives, while adhering to a strict standard of business ethics and integrity. This position is responsible for contract creation, negotiation, and implementation of agreements to support client initiatives in order to deliver consulting, promotional speaker services or sponsorship benefits to meet critical business needs and customer expectations. This position is responsible for managing the end-to-end Sponsorship process and end-to-end Speaker program process including nominations, FMV and contract execution. works closely with external consultants, speakers, institutions, and large non-profit organizations and with business stakeholders, Legal, OEC, among other groups. This position is responsible for creating and maintaining necessary contracting documentation according to departmental and company policies and procedures.

Responsibilities

  • Responsible for compliance with applicable AbbVie policies and procedures. Demonstrates knowledge of external guidelines (e.g., FDA, PhRMA) to ensure compliance.
  • Responsible for end to end management of sponsorship and speaker programs. This includes the approval of requests, negotiating and executing contracts for consulting and/or promotional speaking services and/or sponsorships in a timely manner. Ability to perform and multi-task in fast-paced environment without supervision. Understand and apply cultural awareness with US and OUS business entities.
  • Identify, develop, and implement improved and standardized contracting practices to ensure the most efficient processes for the business. Educate key stakeholders on the same. Seek innovative solutions for the consulting, speaker program or sponsorship process, develop action plans and participate or lead cross-functional, cross-divisional teams.
  • Requires broad range understanding of academic and industry experiences as it relates to establishing Fair Market Value or evaluation of sponsorship requests.
  • Develops standard guidelines and updates associated with the consulting, speaker or sponsorship contracting process with minimal review from management. In-depth knowledge of all compliance requirements and the implications of non-compliance.
  • Seek, develop, and establish business relationships with multiple groups across the organization including all areas of Legal, Commercial operations, Medical Affairs, R&D. Meet regularly with stakeholders and support functions to ensure customer satisfaction and continuous improvement. Analyze contracting metrics to ensure KPIs are being met and makes suggestions in order to optimize the process.
  • Expert in the use of resources and tools including but not limited to; SAP, consulting, speaker program and sponsorship contracting systems SNAPP, and collaboration / document sharing sites.  Proactive management of business stakeholders and external KOLs including, anticipation, resolution and communication of issues.
  • Effectively develops and negotiates agreements with key opinion leaders, patients, advocacy executives and top non-profit organizations.
  • Is seen as an expert in contracting and is responsible for mentoring junior employees. Demonstrates leadership in team setting and with key stakeholders.
  • Manages legal precedent agreements with Institutions / waiver countries.  Manage all contract templates including version control, working with key stakeholders in Legal on changes to templates, and delivery of templates to the template committee for approval.
  • Manages the process to implement contract templates into the contracting system including mapping of all templates and coordinates user interface testing.  Manages Legal relationships and precedent agreements, evaluates nominations & FMV. 

Qualifications

  • Bachelor’s Degree Preferred. Paralegal certification desired.
  • Excellent attention to detail and deep critical thinking skills.
  • Total combined minimum years of experience required: 4+ years .
  • Must possess the appropriate level of skills necessary to effectively interface with all levels of employees and external HCPs, non-HCPs, patients and non-profit organizations.
  • Related experiences to include:  Negotiation, Project Management, and Contracting Experience.
  • Computer applications (word processing, spreadsheets, and presentations).
  • Strong communication, presentation, and interpersonal skills and the desire to provide a high level of customer service. 
  • Possess the potential to advance to higher positions in the organization.
