THE ROLE
We are seeking a highly organized, detail-oriented, and dependable Administrative Assistant, Legal, to provide support to the Head of Business, Legal Affairs, Strategy and Operations. This is an important role for someone who wants to learn at a fast-paced, international music-based company that’s rapidly growing its film & TV business.
The ideal candidate is a proactive professional with strong communication skills and the ability to manage multiple high priorities simultaneously with accuracy to make sure nothing falls through the cracks.
Legal experience is not required—we are looking for someone with strong skin, strong professional experience, and strong interpersonal skills. An interest in music, movies, television, and the entertainment industry is a plus. A love of spreadsheets is a plus-plus.
WHAT THIS ROLE WILL DO
Provide day-to-day administrative support to the Head of Business, Legal Affairs, Strategy and Operations.
Maintain well-organized electronic files, records, and documents.
Prepare, format, proofread, edit, and organize correspondence, agreements, reports, and other documents.
Manage calendars, meetings, appointments, and deadlines.
Track important dates, deliverables, follow-ups, and outstanding items.
Coordinate meetings, conference calls, zooms and other internal and external communications.
Assist with document management, including scanning, filing, copying, naming, and organizing documents.
Enter, update, and maintain information in databases, spreadsheets, and other systems.
Communicate professionally with colleagues, vendors, and outside parties.
Monitor incoming and outgoing correspondence and ensure timely follow-up.
Help coordinate signatures, approvals, and other administrative processes.
Handle confidential and sensitive information with professionalism and discretion.
Assist with expense reports, invoices, time records, and other administrative matters as needed.
Anticipate needs and proactively address issues before they become problems.
Perform general administrative and office support duties as needed.
WHAT THIS PERSON WILL BRING
Required Qualifications
Minimum of 2 years of prior professional work experience in an administrative, assistant, office, business, creative, legal, or similar professional role.
Exceptional organizational skills and attention to detail
Excellent written and verbal communication skills
Proficiency with Microsoft Office, including Word, Outlook, Excel, Adobe, and PowerPoint
Proficiency with Google Workspace, including Gmail, Google Calendar, Google Docs, and Google Sheets
Strong file-management skills, including maintaining organized digital folders and consistent file naming
Ability to use spreadsheets for basic data entry, tracking, and organization
Comfortable learning and working with databases, document-management systems, cloud-based software, and other business applications
Strong ability to prioritize, manage, and problem-solve multiple tasks, projects, and deadlines
Strong follow-through and accountability
Ability to learn new software, systems, procedures, and terminology quickly
Preferred Qualifications
Experience supporting attorneys, executives, managers, agents, producers, or other entertainment industry professionals is a plus
Experience working in a law firm, entertainment company, production company, music business, agency, management company, or other creative-industry environment
Familiarity with legal documents, contracts, or basic legal terminology
Experience working with confidential or sensitive information
Experience managing multiple calendars, projects, or competing deadlines

The expected compensation for this position is:
$27.30 USD - $34.13 USD Hourly** Pay is based on a number of factors including market location, qualifications, skills, and experience.
