Job Description Summary

Provide legal, administrative, and clerical support to the Child Support Division and the Child Support Attorney. Initiate new cases on the Automated Child Support Enforcement System (ACSES).

Primary work location is at the Chase Building 822 7th Street, 6th Floor, Greeley, CO 80631. Primary work location subject to change. Occasional travel throughout Weld County. This position is in-person and may be eligible for occasional teleworking options upon successful completion of initial training and demonstration of quality work performance. Reliable, predictable attendance within department business hours of 8:00am to 5:00pm Monday through Friday.

Job Description

Legal Document Management - 45%

  • Prepare legal documents for the County Attorney and legal technicians.
  • Create and maintain electronic legal shells/templates.
  • Serve as the primary liaison between County Attorney, client’s attorney, and the courts.
  • Maintain and update attorney’s calendar and docket calendar with accuracy, working directly with court when discrepancies arise.
  • Accurately track and file documents with court in a timely manner as determined by division leadership.
  • Answer and respond to inquires regarding court scheduling, contacting other child support agencies, and resolving discrepancies in records.
  • Maintain and update legal logs for tracking of documents filed, prepared, and requested from courts.
  • Request civil action number for appropriate cases from courts.
  • Prepare, send, and accurately track process service requests, working closely with process servers.


Clerical and Administrative Support - 25%

  • Initiate new cases on the Automated Child Support Enforcement System (ACSES) within timeframes set by leadership.
  • Image electronic and physical incoming and outgoing documents and reindex to appropriate location.
  • Perform daily mail distribution and work with mailroom on resolving discrepancies.


Supply and Equipment Responsibilities - 15%

  • Monitor inventory and maintain an organized storage room.
  • Order and distribute office equipment and supplies.
  • Operate and perform minor maintenance on standard office equipment.


Other Duties - 15%

  • Adhere to strict confidentiality guidelines regarding the appropriate release of information.

Required Qualifications

Required Education

  • High School Diploma/GED


Experience Qualifications

  • 3 years of full time business or clerical experience in an office environment.
  • 1 year of experience as a legal assistant, paralegal, and/or completion of a paralegal certification.


Preferred Education

  • Associate's Degree or higher.


Preferred Experience

  • Experience in legal document preparation or in a courtroom setting.
  • Experience with County or State Child Support Services programs.


Skills and Abilities

  • Candidate must have ability to enter data into several different computer programs. Ability to learn and apply new computer skills on a regular basis. Knowledge of computer programs such as Microsoft Windows and Word, Excel, and Outlook.
  • Candidate must have ability to read and comprehend instructions, correspondence and department policies and procedures.
  • Candidate must have ability to communicate verbally and in writing.
  • Candidate must have ability to effectively communicate in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Candidate must have ability to adapt to fast paced, high volume and ever-changing work environment and be able to handle high stress situations.
  • Candidate must adhere to strict guidelines regarding confidentiality and appropriate release of information.


Licenses and Certifications

  • Candidate must pass criminal background check prior to employment start date. (Required)
  • Candidate must pass Department of Human Services background checks prior to employment start date. (Required)
  • Candidate must pass a CBI/FBI fingerprint check prior to employment start date and will continue to be subject to CBI/FBI monitoring throughout employment. (Required)
  • Must obtain Paralegal Certificate within first 12 months of employment if not certified upon hire. (Required)
  • Most obtain notary within 12 months of hiring. (Required)
  • Driving is essential in this position.
  • Candidate must have a valid Driver’s License and Liability Insurance. (Required)
  • Candidate must pass a Motor Vehicle Record (MVR) evaluation and if hired, will be subject to continuous monthly MVR monitoring. Candidate must provide own transportation and be willing to travel as needed to meet the essential functions of the position. (Required)
  • This position is subject to a pre-employment drug screening. Employment is contingent upon successfully passing the screening in accordance with Weld County policy. (Required)


This position is non-exempt from the minimum wage and overtime requirements of the Fair Labor Standards Act and is therefore eligible for overtime pay.
