Executive - Workplace Compliance
What this job involves
We are seeking a highly motivated compliance professional to support workplace operations by ensuring adherence to applicable labour laws, statutory regulations, corporate compliance standards, and internal governance requirements. This role is responsible for driving compliance programs, managing audits, mitigating risks, and partnering with internal stakeholders and vendor organizations to maintain a robust compliance framework across locations.
The successful candidate will play a key role in minimizing legal, financial, operational, and reputational risks while ensuring consistent compliance practices across workplace operations.
Education & Qualifications
Required:
- Bachelor's degree in Law (LLB)
Preferred:
- Company Secretary (CS) or Chartered Accountant (CA)
- Additional qualifications in Compliance, Risk Management, or Governance are advantageous
Key Responsibilities
1. Compliance Governance & Risk Management
- Support labour law compliance programs and ongoing risk management initiatives.
- Ensure adherence to labour laws and statutory requirements, including:
- Contract Labour (Regulation & Abolition) Act (CLRA)
- Shops & Establishments Act
- Provident Fund (PF)
- Employees' State Insurance (ESI)
- Professional Tax (PT)
- Labour Welfare Fund (LWF)
- Building compliance requirements
- Identify compliance risks and implement preventive controls.
- Review audit observations, statutory notices, litigation risks, vendor compliance issues, and corrective action plans.
- Drive closure of compliance gaps through effective escalation and follow-up mechanisms.
- Collaborate with Legal, Risk & Compliance, Facilities, Procurement, HR, Transport, and Vendor Management teams.
2. Audit Management & Compliance Monitoring
- Participate in internal and external audits, statutory reviews, and government inspections.
- Review audit reports received from compliance partners and analyze observations.
- Classify compliance gaps based on risk levels and prioritize remediation activities.
- Communicate audit findings to site teams, stakeholders, and vendor partners.
- Track closure of audit observations through documentation and evidence validation.
- Escalate overdue, recurring, or critical compliance issues to relevant leadership teams.
- Conduct trend analysis on recurring observations and recommend preventive measures.
- Participate in audit review meetings and support implementation of corrective actions.
- Monitor audit scores, compliance metrics, and closure status across locations.
- Ensure timely closure of all audit observations.
3. Contract Labour Compliance (CLRA)
- Ensure compliance with the Contract Labour Act and related labour regulations.
- Monitor licensing compliance through audit reviews and monthly assessments.
- Highlight expired, invalid, unavailable, or non-applicable licenses to stakeholders for immediate action.
- Support obtaining CLRA registrations and amendments, where required.
- Coordinate annual CLRA return submissions within statutory timelines.
- Maintain strong oversight of contractor compliance requirements to mitigate statutory risks.
4. Vendor Compliance Governance
- Ensure vendor participation in monthly compliance audits and reviews.
- Monitor submission of statutory documents and compliance records.
- Address documentation gaps, delayed submissions, and recurring observations.
- Escalate critical compliance concerns and track remediation efforts.
- Drive vendors toward achieving and maintaining compliance audit scores above organizational targets.
- Present vendor compliance performance and risk updates during governance reviews.
5. Headcount Data Management & Reporting
- Collect and validate workforce headcount information using attendance management systems and site records.
- Review and verify contractor workforce data for compliance reporting purposes.
- Maintain accuracy and integrity of workforce-related compliance records.
6. Inspections, Notices & Legal Compliance
- Coordinate labour law, PF, ESI, and CLRA inspections across locations.
- Partner with consultants, legal teams, vendors, and internal stakeholders to address inspection findings.
- Track statutory notices and ensure timely submission of responses and supporting documentation.
- Support resolution of labour law disputes and compliance-related issues.
- Maintain records and monitor closure status of inspections, notices, and legal matters.
7. Building Compliance Governance
- Coordinate with facility teams, property management teams, and designated compliance stakeholders for compliance tracking activities.
- Collect, validate, and upload required compliance artifacts and documentation.
- Support periodic compliance reviews and spot audits.
- Monitor non-conformances and drive closure through collaboration with relevant teams.
- Participate in governance discussions and compliance review meetings.
8. Reporting & Governance
- Monitor compliance performance, audit outcomes, and risk indicators across sites.
- Prepare monthly, quarterly, and ad-hoc compliance reports for leadership.
- Present audit results, compliance metrics, risks, and corrective action plans during governance forums.
- Maintain visibility of critical risks, recurring issues, and preventive actions.
