Job Description

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Court Filing Manager based in United States.

This is a high-impact leadership role overseeing court filing operations across multiple California courts and jurisdictions.
You’ll lead a team of filing specialists while ensuring accuracy, quality, productivity, and service-level commitments are consistently achieved.
Your deep knowledge of California court procedures will help the team navigate complex county-level requirements and resolve challenging filing issues.
You’ll turn rejection trends, audits, and operational data into practical process improvements and scalable systems.
The role combines people leadership, legal operations expertise, client service, and technology-driven workflow optimization.
You’ll also contribute to hiring, onboarding, training, client implementation, and cross-functional initiatives as the organization continues to grow.

Accountabilities

    • Own the daily performance, quality, productivity, and output of the Court Filing team across multiple California courts and jurisdictions.
    • Manage workload allocation and priorities, ensuring urgent and VIP filings are handled promptly and service-level agreements are consistently achieved.
    • Coach and develop team members through regular feedback, hands-on training, performance discussions, evaluations, and goal setting.
    • Establish and monitor KPIs while holding the team accountable for quality, accuracy, productivity, and client service standards.
    • Serve as the primary subject-matter expert on California court filing requirements, including county-specific rules, mandatory cover sheets, tentative ruling procedures, courtesy copies, e-service requirements, and local filing practices.
    • Conduct regular audits of case files, data entry, and electronic filing submissions to identify and resolve errors before they reach courts or clients.
    • Manage complex escalations and incident reporting, identify root causes, and implement corrective actions to prevent recurring issues.
    • Analyze rejection patterns, workflow bottlenecks, and operational trends to improve processes and create scalable SOPs, playbooks, and workflows.
    • Act as a liaison between the Court Filing team and Account Executives, Account Managers, Billing, and other internal stakeholders on escalations and process-related questions.
    • Own KPI and SLA reporting, translating individual and team performance data into actionable insights for Litigation Support leadership.
    • Lead hiring, onboarding, and ramp planning, including participating in interviews and developing training materials.
    • Partner with Training and Development to build and maintain onboarding curricula and ongoing training resources.
    • Oversee the court-filing component of new law firm client onboarding, including data entry, account setup, and establishing a strong initial experience.
    • Maintain proficiency across key eFiling platforms, including Tyler Odyssey/File & Serve, LegalConnect, One Legal, Greenfile, and InfoTrack, while staying current with new courts, portals, and regulations.
    • Partner with leadership on special projects, operational improvements, and potential expansion into jurisdictions outside California.
    • Foster a collaborative, accountable, and engaged team culture by maintaining strong team visibility and actively supporting morale and connection.
    • Requirements

      • 5+ years of experience in California court filing or eFiling operations, with deep county-level knowledge of Superior Court requirements.
      • 5+ years of management or leadership experience, ideally overseeing court filing, legal operations, litigation support, or related teams.
      • Proven ability to manage high-volume, multi-jurisdiction filing workloads while maintaining consistent quality, accuracy, and SLA performance.
      • Hands-on experience with eFiling platforms such as Tyler Odyssey/File & Serve, LegalConnect, One Legal, Greenfile, or InfoTrack.
      • Demonstrated experience developing and maintaining SOPs, operational playbooks, and training materials that support accurate execution at scale.
      • Strong coaching and people-management skills, including the ability to provide direct feedback and navigate challenging performance conversations.
      • High emotional intelligence and a people-first leadership approach, with the ability to adapt your management style, build trust, and remain composed under pressure.
      • Excellent written and verbal communication skills, with confidence collaborating across operations, sales, billing, leadership, and other functions.
      • A strong track record of process improvement, particularly turning audit findings, rejection trends, and incident reports into sustainable operational solutions.
      • Experience with case management, CRM, or operational reporting software is a plus.
      • Experience delivering training, webinars, or educational content is advantageous.
      • Knowledge of court filing requirements outside California is a plus.
      • Previous experience in a startup or high-growth environment is beneficial.
      • Experience partnering with product or engineering teams to improve internal systems or client-facing portals is a plus.
