This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Senior IP Docket Specialist based in the United States.
This role offers the opportunity to become a key contributor to a centralized intellectual property docketing function supporting complex domestic and international matters.
You will oversee the accurate capture, calculation, monitoring, and completion of critical patent and trademark deadlines.
Working across attorneys, docketing professionals, risk teams, and firm leadership, you will help maintain high standards of accuracy and compliance.
The position combines detailed docket management with quality assurance, research, reporting, and process improvement.
You will also support training, portfolio transitions, new matter intake, and special projects within a collaborative legal environment.
Success requires deep knowledge of U.S. and international IP prosecution procedures and exceptional attention to detail.
This is a remote opportunity suited to an experienced IP docketing professional who thrives on accountability, precision, and continuous improvement.
Accountabilities:
- Oversee the accurate entry, calculation, monitoring, verification, and completion of patent and trademark docket deadlines in accordance with established procedures.
- Review incoming correspondence, including emails and other communications, to identify all applicable deadlines and ensure they are accurately recorded in the IP docketing system.
- Review U.S. Patent and Trademark Office and foreign filings, validating information and filing details against relevant domestic and international agency websites when necessary.
- Maintain accurate docket records, including timekeeper assignments, new matters, transferred or abandoned matters, and incoming IP portfolios.
- Create, review, schedule, and distribute accurate advanced docket reports for patent and trademark matters.
- De-docket completed deadlines, verify docketed and de-docketed items, and investigate and resolve discrepancies.
- Provide professional and constructive guidance to attorneys, timekeepers, and staff regarding docketed deadlines, foreign and domestic agency requirements, and applicable IP rules.
- Perform quality assurance reviews of patent and trademark filings, identifying and escalating errors, omissions, or inconsistencies.
- Support the Senior IP Docket Manager with training and development of centralized docketing team members.
- Collaborate with docketing, risk, IP practice support, and firm leadership teams to strengthen docketing policies, procedures, workflows, and best practices.
- Maintain current knowledge of developments, procedures, and regulations affecting U.S. and foreign intellectual property filing entities.
- Support special projects and additional initiatives related to centralized IP docket operations as required.
- Associate degree or paralegal certificate required; a bachelor's degree in a related field is preferred.
- 10+ years of intellectual property docketing experience, with significant proficiency in IP docketing platforms such as PattsyWave, Foundation IP, or CPi.
- Advanced knowledge of U.S. and foreign patent and trademark prosecution procedures, including statutory requirements, filing deadlines, and broader IP business workflows.
- Working knowledge of patent and trademark maintenance fee, annuity, and renewal processes.
- Strong understanding of USPTO, PCT, Madrid Protocol, and foreign IP rules and practices, with a commitment to staying current as requirements evolve.
- Proficiency with Microsoft Office, Adobe, and document management systems such as NetDocs.
- Advanced Excel capabilities, including preparing, exporting, editing, filtering, sorting, searching, and reformatting large spreadsheets.
- Excellent attention to detail, analytical thinking, research ability, and resourcefulness.
- Strong organizational and problem-solving skills, with the ability to balance competing priorities and maintain accuracy in a fast-paced environment.
- Strong communication and interpersonal skills, with the ability to collaborate effectively with attorneys, staff, leadership, and cross-functional teams.
- Ability to adapt to changing priorities, procedures, technologies, and business requirements while maintaining high-quality work.
- Sound judgment and discretion when handling sensitive legal information and confidential matters.
