This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Legal Assistant - Office of General Counsel based in United States.
This role provides essential administrative and operational support to an Office of General Counsel, helping coordinate a broad range of legal, compliance, governance, and contracting activities.
You will work closely with attorneys, business stakeholders, leadership, clients, and external partners to keep legal operations organized and on schedule.
The position combines legal matter support, corporate records management, contract administration, compliance tracking, and departmental reporting.
You will also help maintain legal technology platforms and ensure information, workflows, and documentation remain accurate and up to date.
Strong organization, discretion, and attention to detail will be critical when managing confidential information and multiple deadlines.
The role offers an opportunity to contribute to process improvements and strengthen the efficiency of a technology-driven legal function.
This is a full-time remote opportunity suited to a proactive professional who can work independently while collaborating effectively across teams.
Accountabilities
- Provide administrative and operational support to attorneys and the Office of General Counsel across legal, compliance, governance, contracting, and departmental activities.
- Assist with litigation, claims, inquiries, and other legal matters, including matter intake, document management, legal holds, discovery support, and activity tracking.
- Maintain legal calendars, deadlines, filings, correspondence, matter records, and organized legal files.
- Support corporate governance activities by maintaining corporate records, entity documentation, and governance materials.
- Coordinate business license renewals, annual filings, registrations, and related compliance activities across multiple jurisdictions.
- Maintain centralized compliance trackers, filing calendars, and supporting documentation.
- Assist with contract administration, including routing, tracking, execution, renewals, document retention, and monitoring key contractual dates and obligations under attorney direction.
- Coordinate responses to client questionnaires, audits, RFPs, and due diligence requests by gathering information from internal stakeholders and maintaining approved materials.
- Support the administration of legal department systems, including contract lifecycle management and enterprise risk management platforms.
- Maintain data accuracy, workflow integrity, and document consistency across legal operations systems.
- Prepare reports, dashboards, presentations, briefing materials, templates, and departmental correspondence for leadership and stakeholders.
- Track departmental metrics and support reporting initiatives and data collection.
- Identify opportunities to improve efficiency, consistency, organization, and standardization across legal workflows.
- Assist with developing and maintaining procedures, templates, and other legal operations resources.
- Maintain confidentiality when handling sensitive legal, business, client, and organizational information.
- Collaborate effectively with attorneys, firm leadership, clients, vendors, and internal business partners while maintaining a strong service-oriented approach.
- Complete required training and development activities and perform additional duties as assigned.
- Associate's degree, Bachelor's degree, paralegal certificate, or an equivalent combination of education and relevant experience.
- At least 5 years of experience in a legal assistant, legal administrative support, legal operations, or comparable professional role.
- Demonstrated experience supporting legal, compliance, contracting, governance, or other professional services functions.
- Strong experience managing documents, records, deadlines, communications, and workflows involving multiple stakeholders.
- Proficiency with Microsoft 365 applications, including Word, Excel, Outlook, Teams, and SharePoint.
- Experience with business licensing, corporate filings, entity management, or compliance tracking is preferred.
- Experience supporting litigation, claims management, contract administration, audits, due diligence requests, or client questionnaires is advantageous.
- Familiarity with contract lifecycle management, enterprise risk management, legal matter management, or comparable workflow platforms is preferred.
- Advanced Excel, reporting, or data management capabilities are a plus.
- Strong organizational and prioritization skills, with the ability to manage multiple assignments and competing deadlines.
